Randstad Italia Inhouse Services is currently recruiting an Administrative Assistant for a high-profile international client based in Frascati (RM).

responsabilità

The postholder will be in charge of all administrative tasks in support and under the direct authority of the Head of the Office, including the followings:

  • Provide administrative support to the Head of the Office, including managing incoming/outgoing correspondence and communication with Departments, Divisions, Sections of all sites

  • Maintain the agenda, coordinate the planning of the Head of Office’s meetings and commitments

  • Draft and follow up formal correspondence with external organisations (industry, research organisations, international partners)

  • Plan and organise Office management meetings, ensuring all relevant documents are uploaded onto an electronic platform, taking minutes, proactively following up the corresponding list of actions defined

  • Coordinate with Head of Department’s assistant and Division/Office secretaries to ensure a steady and continuous transfer of information in and out of the Office

  • Manage the Office’s electronic document platform, fostering a paperless office

  • Interface with on-site services for access, accommodation, facilities, printing and IT services, meeting & VC facilities

  • Maintain updated status information on all activities in the Office

  • Provide logistical and administrative support for events planning and organisation

  • Prepare Mission Orders and internal communications (forms, minutes, memos, signatures) for staff and external experts

  • Manage miscellaneous small procurements for the Office and support administrative initiation of other procurements

  • Support Communication and office outreach activities including web pages and social media

competenze

The ideal candidate shall be in possession of:

  • Relevant experience in administrative and/or secretarial skills
  • Excellent command of English and ability to work in a fast-paced work environment with shifting priorities
  • Good knowledge of office automation and database software packages and in planning control tools, with ability and interest to learn other applications and tools within an infrastructure based on innovative solutions
  •  Motivated to work in a collaborative, dynamic environment with an open multi-cultural attitude

The successful candidates will be offered a very competitive contract and salary package, commensurate with skills and experience.
